Advancement Coordinator
Job Overview:
The Advancement Coordinator reports directly to the Director of Advancement and is an integral member of the Advancement Team. The Advancement Coordinator provides administrative and project support to advance the school’s development, stewardship and relations, and communications initiatives. This role is responsible for gift entry and receipt, prospect research to advance fundraising, team coordination, and events support. The Coordinator works closely with the members of the Advancement Team to support all Advancement Office goals. The Coordinator should value organization, efficiency and curiosity and be a strong verbal and written communicator. The candidate will also pull and customize routine reports for donor tracking and prospect analysis through NeonCRM.
Key Responsibilities:
- Maintain data integrity in the NeonCRM database management system by inputting all donor-related information in the database
- Generates gift receipts and coordinates donor acknowledgements (letters, handwritten cards, etc) in alignment with stewardship plan
- Process and acknowledge all incoming Memorial and Recovery Cards
- Continually update and correct database records
- Performs web-based and data-based prospect research to support major gifts fundraising and actively supports moves management data entry and reporting
- Assist with coordinating and executing direct mailings
- Assists Director of Communications by contributing to written materials, social media postings, editing, and proofreading as requested
- Assists Director of Alumnae by supporting stewardship programs, activities, communications, and events as requested
- Assists the Director of Community Events by supporting fundraising initiatives and appeals, reporting activities, gift entry and receipt, special events and projects as requested
- Draft emails focused on but not limited to alumnae, donors and fundraising
- Provides Administrative Support to the Advancement Office staff (e.g. coverage during absences) as needed
- Generates fundraising and constituent reports from the NeonCRM database
- Keep an up-to-date inventory of all office supplies and order as needed
- Perform other duties as assigned by the Directors of Advancement
- Maintain the scheduling of volunteers for the office
- Reserve meeting space and refreshments as directed
Qualifications:
- 2 years of related professional experience with database systems, data entry, or development; preferably with an independent school or in higher education
- Experience with NeonCRM or similar donor database system
- Proficiency in Google Tools and Microsoft Office applications
- Superior written, verbal communication and customer service skills
- Demonstrated commitment to excellence, detail, and ability to prioritize and manage multiple projects simultaneously in a dynamic environment
- Positive attitude, relationship-building skills, a high-level of self-motivation, and a strong, responsible work ethic
- Demonstrated ability to work independently and as part of a team, to think ahead and be a problem-solver
- Ability to maintain confidentiality and handle sensitive information with integrity
- Willingness to work occasional evenings, as necessary
